Project Coordinator
POSITION BACKGROUND
WiLL is seeking a detail-oriented Project Coordinator to join our Project Engineering Team. You will support customer projects from start to finish, acting as a key resource for scheduling, milestones, and communications. Collaborating with engineers, customers, vendors, contractors, and other stakeholders, you will ensure timely, on-scope delivery at high quality. The role emphasizes communication over technical tasks, but requires interest in technology and innovative custom projects. Ideal for organized individuals in fast-paced settings. Up to 10% travel may be required.
KEY RESPONSIBILITIES
- Assist in planning, execution, information gathering, and monitoring of customer projects, including tracking timelines, deliverables, risks, technical requirements, and opportunities.
 - Serve as a key point of contact for customer communications, addressing inquiries, providing updates, and meeting needs throughout the project lifecycle.
 - Develop and maintain project schedules, milestones, and timelines using tools; resolve conflicts and adjust plans as a central resource for teams and customers.
 - Coordinate activities between engineering, manufacturing, sales, and external partners for smooth project flow.
 - Prepare and distribute documentation, reports, and status updates to stakeholders.
 - Identify risks or delays and collaborate on mitigation strategies.
 - Support engineering in resource allocation, task assignments, and workflow optimization.
 - Contribute to continuous improvement by gathering feedback and recommending enhancements.
 - Design and create documents to streamline current and future projects.
 
QUALIFICATIONS
- 2+ years of experience in project coordination, preferably in manufacturing, technology, or related fields.
 - Proficiency in project management software.
 - Excellent verbal and written communication skills for interacting with technical teams, customers, and executives.
 - Strong organizational and time-management skills, with attention to detail and ability to handle multiple projects.
 - Familiarity with scheduling methodologies and customer relationship management.
 - Interest in technology and enthusiasm for custom projects (role is communication-focused, not deeply technical).
 - Ability to work independently and collaboratively in a dynamic environment.
 - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and related tools.
 - Experience in lighting, manufacturing, or technology sectors is a plus.
